EXHIBITION RULES & REGULATIONS

 

1          Exhibition Venue

Note : Exhibitors will be allowed in the Exhibition Hall one hour before and one hour after the scheduled show hours. If additional hour is needed, the Exhibitor is required to obtain written approval from the Exhibition Manager.

3          Booth / Space Allocation

 

Exhibitors would only receive their desired booth  on first come first served basis subject to the Exhibition Organiser reserves the right to make changes if necessary.

4          Promotion During The Exhibition

 

Exhibitors are reminded not to place stickers, signs or posters anywhere in the hall other than within their own stand. Likewise, Exhibitors' representatives may not distribute brochures, invitations, etc. along the gangway or near the entrances. This is unfair to other Exhibitors and an inconvenience to visitors.

5.    Payment Terms & Conditions

 

All payment and original Order Forms must be submitted together to respective contractors.

6              Failure To Exhibit

  

    Any organization which, having confirm and fully paid to participate in the exhibition, but fails to exhibit,  will find the payment submitted be forfeited, These terms cannot be varied under any circumstances.

7          Official Stand Fitting And Electrical Contractor

 

a.     The Exhibition Managers have appointed an Official Contractor for various services    so as to ensure efficient and regulated build - up and dismantling.

 

b.        Exhibitors are responsible for making their own arrangements for services directly with our official contractors unless otherwise stated.

 

c.        The services of official contractors are for the convenience of the Exhibitors, and the Organizer will accept no liability in respect of any contract entered into between Exhibitors and such contractors for the negligence or default of any such persons, their staff and agents.

 

d.        Exhibitors are only allowed to use our own contractors due to time constrain of the matter.  Our Stand Fitting and Electrical Contractor is :-

8          Official Freight Forwarder

 

Only the Official Freight Forwarder may be appointed by Exhibitors, where mechanical handling within the exhibition hall is required and the Exhibition Manager must be informed of the appointment accordingly.  No exhibitor or their appointed freight forwarder(s) will be permitted to bring or use any forklift, crane or other mechanical handling device within the exhibition area prior written permission  from the Exhibition Manager.  Our official freight forwarder is :-

9          Independent Stand Construction

 

a.        Exhibitors are allowed to use the services of any contractor listed with PWTC.

 

b.        Exhibitors with "Bare Space Only" may also make arrangement with a contractor of their choice for the design and construction of the booths.  The Exhibition Manager however, highly recommend the services of the Official Stand Contractor.  Only the Official Electrical Contractor is allowed to carry out any electrical or wiring installation works.

 

c.        Exhibitors must inform the Exhibition Manager of the names of their contractors.  All  Stand Contractors which is not the Exhibition Managers of the Exhibition Managers of the names official contractors must lodge a deposit of :

Below 36sqm at RM 3,000.00

Below 72sqm at RM 5,000.00

Above 72sqm at RM 10,000.00

 

d.        With the Exhibition Manager to serve as a performance bond as well as damage deposit.  The    deposit, calculated at RM 150.00 per sqm but subject to a minimum of RM 3,000.00 per stand, will  be refunded after deduction for services and damages.  Failure to do so will result in the contractors being barred  from entering the Exhibition premises.

 

e.        No structure may exceed 2.7m in height.  All Exhibitors must seek approval from the Exhbition Manager for any exhibits or stand construction that exceed 2.7m in height.

 

f.          No part of any structure, display material or exhibits may exceed beyond their contracted boundary.

 

g.        Carpets and floor covering must be affixed with tape.  These tapes are to be removed during the dismantling period.  The use of glue of cement applied directly on the floor is strictly forbidden.

 

h.        No suspension of any kind may be made from the ceiling of the exhibition hall nor may any fittings or paintings be made directly on the floor, walls or pillars of any part of the building.

 

i.          Exhibitors buildings their own stand must submit a detailed drawing with dimensions illustrating the design of their stand to the Exhibition Manager by 23/7/2001

 

j.          All workers employed in the construction of stand will have to wear identification passes provided by the Exhibition Manager at all times within the exhibition premises.

 

k.        All material used in the stand construction must be properly fire-proofed in accordance with local regulation.

 

l.          During the built-up and teardown period , the Exhibitors and his contractor are responsible for the day to day clearing and disposal of own debris.  Failure to do this will result in the Exhibitors being liable for service fee involved in cleaning and disposing the said debris.

 

m.       At the close of the Exhibition, it is the responsibility of the Exhibitors and his contractors to dismantle according to the dismantling schedule provided by the Exhibition Managers.

 

n.        Exhibitors occupying perimeter space must include in their design a back wall for their stand. Failure to do this will result in the Exhibition Manager building this wall on the Exhibitor's behalf and re-charging the cost to the Exhibitors.

Special arrangement, including the provision of the steel base, may be required for any exhibits exceeding the floor loading limit.  The Exhibition Manager must be informed of any such exhibits and the Exhibition Manager's delivery schedule for heavy and large exhibits must be strictly adhered to.

 

11        Shell Scheme Package

 

  Please refer ORDER FORM 1 & 2 for details of the package which would also include the

 following :-

 

a          2.5m (H) and 4mm thick laminated wall panel with powder coated aluminium system structure.

b          Fascia board to include Exhibitor's name in cut-out P.V.C of 70mm high.

c          2 units fluorescent light (40W x 1200mm length)

d          1 unit 13A power point / single phase

e          Needle punch laid carpet directly on floor space

f           1 unit information desk with 2 units Wall Shelving

g          2 units folding chairs & 2 units easy arm-chairs

h          1 unit waste paper basket

 

Exhibits fixtures, components and identification signs are permitted to a maximum height of 2.5m.

 

12       Furniture Rental

 

A range of these items is available for hire from Exhibition Manager.

13       Power Supply & Lighting

 

a.        Electrical power supply is :-                       Single-phase    =   230V/50Hz +/- 6%

                                          Three-phase     =   230V/50Hz +/- 6%

 

b.        The Exhibition Manager's Official Electrical Contractor must carry out all electrical installation work at the Exhibition.

 

c.        Exhibitor who provide their own lighting fixtures containing wiring installation must comply with following procedures :

 

·         Submit detailed drawing of such installation to the Exhibition Manager for approval

·         Show proof that such installation is carried out by a registered wiring contractor with relevant class of Certified Registration issued by the Director-General of Electrical Inspector, Malaysia or its equivalent

·         Use material approved by the department of Electrical Inspector, Malaysia

 

d.        Non compliance of the above would result in immediate termination of power supply and penalty   charges.

         

e.        The Exhibition Manager reserves the right to request the Exhibitors to change any wiring installation, connection, etc. contained in lighting fixtures for safety reasons

 

f.          Exhibitors whose lighting fixtures are found to have been the cause of trips in power supply will be responsible for all re-energisation charges.

 

g.        All power outlets (single or three phase) are for single machine / product use and should not be used for lighting purposes.  If need for lighting purposes, the lighting connection charges will apply.

 

h.        No flashing lights or signage will be permitted within the Exhibition Hall.  In the interest of the Exhibition, the Exhibition Manager reserves the right to disconnect the power supply to any such installation which may be dangerous or likely to cause annoyance to the public.

 

14       Other Facilities

 

a           Water and waste

 

Exhibitors requiring water and waste should contact the Exhibition Manager for     cost estimates and submit the following details of such requirements with a detailed plan  :-

 

·          Diameter of supply pipe

·          Rate of flow required

·          Delivery pressure required

·          Diameter of waste pipe required

 

b  Air Compressors

 

Exhibitors should provide their own compressed air when required.  Those who unable to do so, may contact the Exhibition Manager for assistance.  The supplier will quote and charge Exhibitors directly for any compressed air installation supplied.

 

c Industrial Gasses

 

The use of gasses of any inflammable or toxic nature is strictly prohibited.

 

d General Lighting and Air - Conditioning

 

General lighting will be provided where necessary during the built-up period.  During the Exhibition  period, full air - conditioning and lighting will be provided.

Note  :   During the build-up and moving in period, the Exhibition Hall will be Open from 9.00 a.m hrs to 9.00 p.m.  Special permission has to be obtained from the Main Organizer if the contractor engaged by  Exhibitor needs to carry out works after the specified time

 

 

16       Moving In And Delivering of Exhibits

 

a          Cargoes which are consigned directly to the Exhibition site should not arrive at the Exhibition Hall earlier than 25/8/2001

 

a          Exhibitors, their agents or contractors are responsible for their early installation of  their heavy or large exhibits according to the move-in schedule provided by the Exhibition Manager.  Such large or heavy exhibits that arrive late may not be permitted into the exhibition site.  All cartons should be clearly marked with the following :

c       Exhibitors may appoint a forwarding contractor of their choice listed with PWTC for the delivery of their exhibits into the exhibition sites.  They will be allowed to lift and deliver exhibits, which  require mechanical assistance into Exhibition Hall.

 

17       Removal Of Exhibits During Moving-Out Period

 

The Exhibition Manager will provide strict security surveillance at all time.  Exhibitors are reminded  that exhibits are most at risk during this period.  Exhibitors are advised to ensure that their booths are not left unattended until all exhibits has been removed.

 

  All exhibitors removing exhibits out of the exhibition premises must obtain a moving out form from the  Exhibition Manager for checking and inspection by security officers at the gate.

 

 Failure to do so will result in delay of moving-out even be prohibited.

 

18       Films And Video Tapes

 

All films and video, even if they originate from Malaysia must be obtain the Censor Board's approval from LEMBAGA PENAPISAN FILEM ( FILM CENSOR BOARD).

19       Security

 

a.        The Exhibition Manager will provide security surveillance for the whole duration of the Exhibition, including built-up and dismantling periods.  Exhibitors and their staff will not be allowed in the Exhibition Hall after exhibition hours.

 

b.        All personnel in the Exhibition Hall must wear identification badges at all time.

 

c.        For security and safety reasons, exhibits movement in or out of the hall during exhibition hours is not permitted.

 

20       Insurance

 

 

a           Every reasonable precautionary measures will be taken to ensure the security and safety of the exhibition premises and the contents thereof.  The Organizers, the Exhibition Manager and their official agents including the hall owners cannot be held responsible for any loss or damage which  may befall any person or property of the Exhibitors from any cause whatsoever.

 

b.        Exhibitors shall make sure that they are fully covered by insurance and take up public liability and comprehensive protection.  The period of liability of the Exhibitors shall be  deemed to run from             the time the Exhibitor or any of the staff, agents of contractors who first enter the exhibition ground, and to continue until all his exhibits and property have been removed. 

The Exhibitors shall insure, indemnify and hold the Organizers, the Exhibition Manager and their official agents harmless in all respect of all cost, claims, demands and expenses in which the Organizers, the Exhibition Manager and their official agents may in way be subjected to as a result of any loss and injury arising to any person ( including members of the public or the Organizers, the Exhibition Manager's staff, agents or contractors) howsoever caused as a result of any act of default of the Exhibitor, his staff, agents or contractors or invitees.  If the Exhibition Manager so demand the Exhibitors shall provide proof to the Exhibition Manager that the Exhibitor has adequate insurance cover.  

 

c.        The Exhibition Manager shall not in any event be held responsible for any restrictions or conditions which prevent the construction, erection, completion, alteration or dismantling of stand, or for the entry, sitting or removal of exhibits, or for the failure of any services or amenities provided by the hall landlord or for the cancellation part time opening of the Exhibition either as a whole or in part, or for amendments or alterations to all or any of the Rules and Regulations caused by circumstances not under their control.

d.        Exhibitor must ensure that they, their temporary staff, their staff, agents or contractors are insured against claims for workmen's compensation.

 

21       Telephone

 

  Public telephones are situated within the Exhibition Hall.  Individual telephones can be requested on rental basis.  Please refer to ORDER FORM 8

 

22       Demonstration and Working Exhibits

 

a.        Moving machinery must be fitted with safety devices and these safety devices may be removed

b.  only when the machines are not in operation and not connected to the source of power.

 

c.        No motors, engines, contrivances or power driven machinery may be used without adequate

d.        protection against fire risk.

 

e.        All pressure vessels or equipment under pressure must conform to safety standards and regulations. Approval for its use is required.

 

23       Dangerous Materials

 

a.        No naked lights and lamps or temporary gas or electrical fittings may be used in the Exhibition Hall  without prior permission from the Exhibition Manager.

 

b.        No explosive, petrol, dangerous gasses or highly inflammable substances are allowed in the hall.

 

c.       No radioactive materials are to be used.

 

d.        No arms, guns, swords, ammunition and other goods of dangerous nature and goods prohibited by the laws of Malaysia will be allowed into the Exhibition Hall.

 

e.        All materials used in stand construction must be properly fire proofed to normal international standards and also in accordance with local regulations.

 

24       Manning Of  Booths

 

a.       Booths must be manned at all time and operational exhibits properly display during the opening hours of the Exhibition.  Exhibitors are not allowed to participate in any activity which in the opinion of the Exhibition Manager is likely to cause annoyance to visitors or other Exhibitors.

 

b.       All activities of the Exhibitors and its staff must be contined within their booth space, more        particularly audio / visual equipment must be positioned within the boundary of the booth space and the  sound level adjust to a reasonable level without creating any annoyance to the general public.

 

c.       No moving-in or removal of exhibits will be allowed during the exhibition hours.

 

25       Hall Landlord's Regulation

 

The hall landlord(s) have the right to refuse entry to the facilities of any person whose presence is, in the reasonable opinion of the hall landlord(s), undesirable.

 

26       Damage to Stand Structures and Exhibition Premises

 

No person under any circumstances shall cut into or through any floor covering or wall nor alter any stand service structure except when authorized in writing by the Exhibition Manager.  Any such damage  to stand structure or exhibition premises will be invoiced to the Exhibitor.

 

27       Stand Cleaning

 

During the exhibition days, the Exhibition Manager will be responsible for the daily cleaning of the stand carpets and gangways.  During the built-up and dismantling periods, independent contractors appointed by Exhibitors are responsible for the removal of their own stand building / dismantling materials and rubbish.

 

28       Audio Visual Equipment and Potted Plan

 

Audio visual equipment, flower bouquet and potted plants are available from the Exhibition Manager

           (Please refer ORDER FORM 6 & 9).

 

29       Car Park Facilities

 

Ample parking space is available within the vicinity of Putra World Trade Centre. A flat rate of RM5.00 is charged. Coupons can be obtained from the Exhibition Managers.

 

30       Temporary Personnel

 

 Temporary personnel are available from the Exhibition Manager  with a fee ( Please refer ORDER FORM 11).

 

31       Storage

 

Direct arrangements for the storage of empty and non-unable cartons and cases should be made with the Official Stand Contractor or Freight Forwarder.  Otherwise, Exhibitors must arrange for these to  be transported back to their own premises.

 

32       Shipping Instruction

 

a)        Heavy / Large Exhibits

           

Due to size and weight restrictions within the exhibition complex, all Exhibitors should ensure that an individual piece does not exceed 2000kgs at 3.0m(L) x 1.5m(W) x 1.8m(H).

 

We cannot be held responsible for any exhibits that may not be placed on stand due to size or weight. 

 

If in doubt please contact us before shipment.

 

b)        Case Making

 

All cases and packages must be clearly marked as follow :

 

Do not mix temporary and permanent imports together in one case as this will cause delay's in clearance and examination and will incur extra charges.  All cases must show import status ie.   TEMPORARY or PERMANENT.

 

c)        Packing

 

We cannot put too much emphasis on the important of all packing being of the highest standard.  All cases and packages should be reconstructed to withstand extensive handling and where required repacking.  We would advise against the use of cardboard cartons and strongly recommend for main display and exhibits that bolted returnable type cases are used.  While initially they may be expensive, we know from experience that short cut can be proved to be false economy.

 

d)       Close of Exhibition

 

We will return empty cases and materials back to your stand as soon as possible after the close of the exhibition.  Where repacking is required, please ensure that a representative is present to supervise this operation and that prior to this complete disposal instructions have been given to our site             personnel.

 

e)       Terms & Condition - Insurance

 

All works undertaken by us are at the Owner's risk and no insurance is provided by us.  Every Exhibitor should make certain that all shipments are covered by a fully comprehensive insurance  policy from the time of  despatch from their works until returned to their works after the exhibition or until delivery to buyer or other destinations.
